Position Title: General Legal Assistant

Reports to Title: Sr Mgr Transition Services

Dept / Function: HBP / Legal

Location: Guadalajara, Mexico

 

Summary:

The legal assistant will be responsible for managing legal matters related to supporting the legal department, particularly labor and employment matters and billing. This specialist will be responsible for managing day to day administrative functions with the legal team. Processing invoices for payment, managing garnishment requests and managing matter creation and closure requests.

 

Responsibilities:

  • Collaborate with outside firms and internal stakeholders to open matters for billing and closing matters.
  • Assist the legal team with additional tasks related to case management.
  • Collaborate with the payroll and other departments to ensure efficient information flow.
  • Garnishment management: Monitor inbox for requests and process requests.
  • Invoice management: Review of incoming invoices for approval, approve or reject based on parameters provided and escalate for review as applicable.
  • Review and Management of Legal Cases: Analyze legal claims related to garnishment and alimony, ensure all required documentation is complete and accurate and maintain updated records for all cases under management.
  • Report Preparation: Prepare monthly reports detailing the status of legal cases and resolutions, identify trends and risks related to case management, and provide clear and precise information to the legal team and other relevant departments.
  • Legal and Regulatory Compliance: Ensure all activities comply with applicable legal and regulatory requirements, support internal and external audits related to family law matters.

 

Education:

Bachelor’s degree, paralegal certification

 

Experience:      

Minimum 1 year of experience in legal case management, preferably in family law or administrative law.

 

Knowledge, skills and abilities required:

  • Legal procedures related to general matter management.
  • Handling court resolutions and communication with judicial entities.
  • Advanced / Intermediate Excel skills (for reporting).
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in documentation.
  • Effective communication and interpersonal abilities.
  • Proficiency in Legal technical English (written and spoken).
