Accountabilities
Key Responsibilities
- Manage complex and dynamic executive calendars, including prioritization of competing business demands.
- Coordinate domestic and international travel arrangements, expense reporting, and executive logistics.
- Prepare presentations, briefing materials, agendas, and correspondence for leadership meetings.
- Anticipate needs and proactively support the SVP's priorities and commitments.
- Coordinate Board of Directors and Committee meeting logistics, materials distribution, and administrative follow-up, as applicable.
- Assist with the preparation and organization of governance documentation and records.
- Maintain strict confidentiality regarding sensitive company, legal, and governance matters.
- Coordinate Legal Leadership Team meetings, department events, and special projects.
- Support annual planning activities, budget administration, invoice processing, and outside counsel coordination.
- Track deliverables, action items, and key deadlines to ensure timely execution.
- Serve as a key point of contact for senior leaders, business partners, and external stakeholders.
- Draft, edit, and manage executive communications and departmental correspondence.
- Exercise sound judgment when handling sensitive and confidential inquiries.
- Organize and maintain legal documents, contracts, and other sensitive business information.
- Ensure records are maintained in accordance with company policies and established procedures.
- Support document management, filing, and administrative systems with a strong focus on accuracy and data integrity.
Minimum Education & Requirements
- 5+ years of experience providing executive administrative support to senior leaders, preferably at the Vice President or Senior Vice President level.
- Demonstrated ability to manage confidential and sensitive information with discretion.
- Exceptional organizational, communication, and time management skills.
- Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, PowerPoint, Word, and Excel.
- Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
- Experience supporting Legal, Corporate Affairs, Compliance, Corporate Secretary, Executive Leadership, or Board Governance functions.
- Experience coordinating Board or Committee materials and executive-level meetings.
- Strong project coordination and stakeholder management skills.
