This role supports both the operational and financial coordination within the Food & Beverage (F&B) department. Key responsibilities include scheduling, onboarding, administrative oversight, and acting as the liaison between finance and food service teams to ensure smooth communication and adherence to company policies.
This is a full-time hourly position located in Hershey, Pennsylvania with 40 hours per week. The company will not provide relocation assistance for this position.
Responsibilities & Duties
Scheduling & Onboarding
Create, post, and maintain weekly and daily schedules using WorkForce
Coordinate onboarding and training schedules for new hires
Design and manage schedule templates in alignment with labor budgets
Monitor staff availability and report exceptions to department managers
Time-Off & Shift Management
Review and adjust employee time-off requests and shift changes
Communicate schedule updates and ensure coverage consistency
Financial Coordination
Act as liaison between accounting/finance teams and Food & Beverage operations
Gather and report data needed for end-of-month financial processes
Process invoices and returns, and work with vendors to follow company procedures
Administrative Functions
Verify weekly flex-force payroll and attendance records
Maintain documentation including medical excuses, employment forms, phone lists, and scheduling verification forms
Track hours to ensure compliance with labor laws and ACA regulations
Departmental Support
Assist department managers with departmental objectives and special projects

- 1–2 years of administrative experience in scheduling, hospitality, food service, or related field
- Basic proficiency in computer systems, including Excel and scheduling software (WorkForce preferred)
- Strong interpersonal and communication skills
- Ability to manage time-off requests and employee availability
- Basic understanding of payroll and invoice processing
- Ability to work both independently and in team settings
Physical Requirements
- Repetitive hand, wrist, and forearm movements
- Occasional overhead lifting
- Bending, stooping, and twisting as needed
- Ability to communicate clearly with guests and co-workers
Minimum Education and Experience Requirements:
Education: High school diploma or equivalent, Bachelor’s Degree preferred
Experience: Minimum 1-2 years of business relevant coursework (scheduling, finance, accounting)
