The Group Sales and Events SAS is responsible for the daily Event operations function as well as supporting all group bookings, contracts, and payments with clients. The incumbent is responsible for developing weekly schedules for the Group Sales team as well as the Event Hosts. This position will work cross-functionally and collaboratively with Facilities Managers as well as Food Service Leadership on all meeting and event reservations for the Loft, Room Nineteeth73, and after-hours. The employee is responsible for supervising the Event Host team and ensuring every event is staffed appropriately and team members are trained to maximize efficiencies and customer service. This role will have a strong focus on building high-performing team members. The incumbent will collaborate with cross-functional teams to ensure all meetings, events and experiences are executed flawlessly and that each guest has a world-class experience. They are responsible for the daily operations, guest experience and performance quality of all meetings, events, and experiences. This position coordinates the Ticketing reservation system and helps develop group sales strategies with sales and income responsibilities.

 

Additional responsibilities include monitoring inventory, ordering supplies, and preparing the event spaces for each meeting and event. This position will be required to obtain RAMP and SERV Safe certifications to support the Food and Beverage business. This role is responsible for developing weekly schedules for the Event Host Team. This role will support all departments of Chocolate World during peak times to ensure a smooth operation and guest experience for all visitors coming to our facility.

 

The incumbent is responsible for training new employees on the group sales processes. They participate in weekly meetings that drive bus traffic and that communicate group and event schedules to key partners. This person will track and report group reservations, bus logs, and FIT results. Coordinate and support all group bookings, contracts, and payments with clients.

 

Major Duties/Responsibilities: (Time %)

 

1.  50%: Event Planning and Execution

  • Back Up Events Admin on daily phone calls and emails for Group Sales and Online Ticketing mailbox
  • Partner with Group Sales & Events Admin on all events to ensure flawless communication
  • Work with Group Sales & Events Admin on Caterease to ensure thorough understanding of Catering Process
  • Meet weekly with Group Sales consultant to create important relationships with VIP bus groups to drive traffic.
  • Maintain Group Sales training materials, checklists, and order processing forms.
  • Responsible for the Group Sales communication to all cross-functional teams
  • Schedule and train the Event Host team members.
  • Prepare event space for each reservation and event / work each event to ensure flawless execution
  • Create and publish the weekly Event host team member schedules.
  • Collaborate with cross-functional teams on planning event details.
  • Collaborate with the Scheduling team to ensure proper staffing for events

 

2. 25%: Sr. AC Communication

  • Set up weekly 1:1’s with each Sr. AC to determine staffing for events
  • Develop and implement training program for Sr. AC’s
  • Back Up Sr. AC as needed during time off
  • Coach and train Sr. AC’s - develop bench of leaders

 

3.  25%: Scheduling, Interviews, Training & Inventory

  • Create and publish the weekly Group Sales team member schedule.
  • Maintain Event training material, checklists, and order processing forms.
  • Maintain appropriate inventory levels of all supplies and order as needed

 

Minimum Knowledge, Skills, and Abilities required to successfully perform major duties/responsibilities:

  • Must have strong attention to detail, initiative and be results oriented

  • Must have strong process/operations management capabilities as well as solving/analytical abilities

  • Must be able to walk or stand for 5-8 hours
  • This role will require bending, stooping, and twisting
  • This role requires repetitive motion of the hands, fingers, and wrists
  • Must be able to communicate effectively with guests, fellow coworkers, and function efficiently as part of a team

 

Minimum Education and Experience Requirements:

Education: High School Diploma or GED equivalent is required. College degree is preferred but not required

Experience: This position requires a candidate to have at least one of the following: 1 (one) year of supervisory experience in event planning or group sales OR Strong knowledge of tourism and hospitality industry
