Position: Quality & Food Safety System Assistant

Job Location: Senai, Johor, Malaysia

Summary:

Supervise the implementation of quality and food safety programs in the Malaysia plant. This includes the verifying and validating the QA Programs in-place (PRP & Global policies coordination). Provide support to the work instruction from the QFSS Specialist. This includes participation on cross departmental team (Production, Tech. Assurance, etc.) in the plant with respect to complex QRC issues (e.g. regulatory changes, product recalls, GMP compliances etc.). Provides support to the manufacturing operations, conducts audits of internal QA programs and related documentation for the Malaysia plant. This includes responsibility for verifying compliance to procedures pertaining to product safety/quality. This person must keep current in food safety, quality regulations, policy and issues; and provide guidance and support to project activities in the plant. As a QFSS Assistant, communication within the team is a key – team work & alignment.

Responsibilities:

Compliance

  • Lead Document Control management for the whole plant including registration, control and distribution.
  • To ensure all quality records related are registered and controlled including working instruction, policies and procedures on timely manner & tracked accordingly.
  • Coordinate the Traceability & Mock Recall including plan, compilation of the records and prepare the summary report.
  • Verify the Health Certificate & Free Sale Certificate documents & applications in the FOSIM system, communication with MOH and stakeholders.
  • Assisting QFSS Specialist in implementation, enforcement and effectiveness checks of pre-requisite programs within the plant (Plant Quality Walkabout)
  • Assisting QFSS Specialist in maintaining the Plant Certification for Halal JAKIM/JAIJ & BJPH/LPPOM MUI including system upkeep and application, training, update the Hershey Active Raw Material List in timely manners and maintenance of Halal certificates for respective raw materials and communication with JAINJ and stakeholders whenever needed.
  • Assisting QFSS Specialist in maintaining the Plant Certification for Kosher including updating the relevant documents, e.g. Kosher certificate of each raw material and application in the system
  • Assist QFSS Specialist in managing the Quality related training for all employees. Maintain the Quality Training Master Plan, Quality Training Modules, Training Needs Analysis and Quality Training Assessment
  • Assist QFSS Specialist in maintaining of the Food Handler Training School
  • Manage Glass & Hard Plastic Inspections including coordinate with respective area owners for periodic review of the registered items (masterlist vs actual items on the line) and record keeping.
  • Assisting Quality & Food Safety System Coordinator in developing Plant Quality Specification for all new and existing products
  • Assisting QFSS Coordinator in developing and maintaining Material Description for ingredients, packaging material and product contact material in the HACCP Plan
  • To participate in any other projects/tasks undertaken by the Company from time to time
  • To assist QFSS Specialist when needed and necessary.  

Continuous Improvement

  • Identifies continuous improvement opportunities and assist in implementation through utilization of PEP program elements such as HACCP and GMP.

Minimum knowledge, skills and abilities required to successfully perform major duties/responsibilities:

  • Thorough understanding of food safety and food regulatory issues, requirements, HALAL, FSSC, ISO, GMP.
  • Able to understand basic English.
  • Ability to form strong and effective working relationships with manufacturing management, QA, and other technical disciplines. 
  • Basic knowledge of quality assurance and quality control principles.
  • Basic knowledge of food plant sanitation, pest control and laboratory techniques.
  • Ensure appropriate plant quality standards are being met relative to products produced in Hershey Malaysia
  • Ability to effectively interact with all levels of employees (from GL, Line Lead, Group Lead to Team Lead)
  • Understand the production / manufacturing environment.
  • Basic competency on computer programs / software such as Microsoft Word, Outlook, Excel, Power Point
  • Detailed knowledge of regulatory and quality system requirements – Product Excellence Program (PEP), HACCP, Good Manufacturing Process (GMP), etc.

Minimum Education and Experience Requirements:

  • Minimum Diploma in Food Science or related field or equivalent related experience (Quality Assurance/Control) or Degree in food related discipline.
  • Minimum 3 years (Diploma) or 1 year (Degree) in food industry related experience as Document Controls/Halal Executive.
  • Chocolate/Confectionary plant working environment will be an added advantage.
  • Certified Food Handlers Trainer by MOH, Halal Executive by HPB, Halal Supervisor by MUI is an added advantage.
  • This person must have knowledge on Quality, Food Safety and Halal Management System, audit and inspection as part of verification process. Able to communicate with the stakeholders on any raising matters related to the system.
